EXPATS TRAVELING GROUP, LLC SERVICES CONTRACT

Acceptance of Terms
By submitting payment for any services provided by Expats Traveling Group, LLC (“ETG”), the Client acknowledges that they have read, understood, and agree to be bound by these Terms & Conditions. This agreement outlines the scope of services provided, the responsibilities of both ETG and the Client, and the limitations of liability.

1. Scope of Services

Expats Traveling Group™ LLC provides professional travel planning and advisory services for individual travelers and group travelers, including but not limited to leisure travel, hosted group journeys, curated group experiences, retreats, and special interest travel.

Services may include consultation, itinerary design, supplier coordination, reservation assistance, logistical planning, and travel support before, during, and after travel. Group services may be hosted by Expats Traveling Group™ LLC or curated in collaboration with vetted third party suppliers.

Expats Traveling Group™ LLC acts solely as a travel advisor and agent and does not operate as a tour operator, airline, cruise line, hotel, or transportation provider.

2. Travel Planning Retainer Fees

Travel Planning Retainer fees are charged for professional services rendered and are non-refundable once services begin. Retainers apply to both individual and group travel unless otherwise stated in writing.

The Travel Planning Retainer covers professional services such as research, planning, itinerary design, supplier vetting, coordination, and administrative support. Retainers are separate from and do not replace supplier deposits, payments, or any cancellation penalties.

The specific fee amounts, payment schedules, and inclusions for your Travel Planning Retainer are outlined in your service agreement, proposal, or invoice. Those terms are incorporated into these Terms and Conditions by reference and remain fully in effect.

3. Pricing, Payments, and Availability

All pricing is subject to availability at the time of booking and may change prior to confirmation. Expats Traveling Group™ LLC is not responsible for price fluctuations imposed by suppliers.

Payments, deposits, and final balances are governed by supplier terms and deadlines. Failure to submit payments on time may result in cancellation of reservations, forfeiture of deposits, or additional fees imposed by suppliers. Any such penalties are the responsibility of the traveler.

Expats Traveling Group™ LLC may collect payments on behalf of suppliers but does not control supplier policies related to pricing, changes, or cancellations.

4. Group Travel Participation

Group travel includes any itinerary involving multiple travelers under a shared schedule, pricing structure, departure window, or event framework.

Each traveler participating in a group itinerary must agree to these Terms and Conditions, regardless of whether booking is completed by a lead traveler, group organizer, or third party.

Age Policy

There is no minimum age requirement set by Expats Traveling Group™ LLC for children to participate in travel services. However, some group trips may have age recommendations or restrictions based on destination, accommodations, transportation requirements, physical activity level, or policies set by third party suppliers. These details will be communicated prior to booking when applicable.

Parents or legal guardians are fully responsible for the supervision, safety, and conduct of minors during travel and for compliance with all supplier and destination rules.

5. Hosted and Curated Group Travel

Hosted group travel refers to journeys where a representative of Expats Traveling Group™ LLC may be present during part or all of the trip. Curated group travel refers to itineraries designed by Expats Traveling Group™ LLC and operated by third party suppliers without on-site hosting by Expats Traveling Group™ LLC.

The presence or absence of a host does not alter the role of Expats Traveling Group™ LLC as a travel advisor and agent. All transportation, lodging, activities, and related services are provided by independent third party suppliers.

Automatic Billing Plan
You are automatically enrolled in our automatic billing plan upon booking a hosted group trip. You can relax knowing that your future payments will be made automatically. When you book, we’ll set up an evenly divided automatic billing plan for you, and you will know in advance on the day of every month that your payment will be processed. Your initial deposit is due at the time of booking, and your future payments will be charged according to the schedule you see on your invoice. Split payments and automatic billing incur a 3.4% credit card processing fee.

6. Changes, Cancellations, and Group Dynamics

All changes and cancellations are subject to the terms and conditions of the travel suppliers, including but not limited to airlines, hotels, cruise lines, tour operators, and transportation companies.

Individual cancellations within a group may impact pricing, room occupancy, transfers, or other shared services for remaining travelers. Any resulting changes, penalties, or additional costs are the responsibility of the traveler whose actions caused the change, or as determined by the group agreement or supplier policies.

Expats Traveling Group™ LLC is not responsible for penalties, changes, or losses resulting from supplier actions, force majeure events, public health events, natural disasters, governmental actions, or other circumstances beyond our control. Reasonable efforts will be made to communicate material changes promptly when they are brought to our attention.

7. Travel Insurance Declaration

Expats Traveling Group™ LLC wants to help ensure that your travel experience is enjoyable and as smooth as possible. As part of our commitment to your safety and well-being, travel insurance is strongly recommended to protect your travel investment from unforeseen events.

If you choose not to purchase travel insurance, please review and acknowledge the following risks:

  • Trip Cancellations or Interruptions
    Without travel insurance, you may be responsible for non-refundable costs if you need to cancel or interrupt your trip due to unforeseen circumstances, including but not limited to illness, emergencies, or other unexpected events.
  • Medical Emergencies
    Travel insurance may provide coverage for medical emergencies while you are away from home. Without it, you may have to cover medical expenses out of pocket in the event of illness or injury during your trip.
  • Travel Delays
    Unforeseen circumstances such as flight delays or cancellations can disrupt your travel plans. Travel insurance often includes coverage for certain expenses incurred during these delays. Without insurance, those costs may be your responsibility.
  • Lost or Delayed Baggage
    If your baggage is lost, delayed, or damaged during your trip, travel insurance can provide reimbursement for covered belongings. Without insurance, you may have to replace items at your own expense.

You are encouraged to review your personal insurance coverage to determine whether you have any existing travel-related protections so that an appropriate policy can be recommended to supplement your coverage if needed.

Acceptance of these Terms and Conditions means you acknowledge and understand the risks associated with declining travel insurance.

8. Traveler Responsibilities

Each traveler is responsible for:

  • Obtaining and maintaining a valid passport and any required visas
  • Complying with all entry, exit, health, vaccination, and testing requirements for each country visited
  • Reviewing travel advisories, safety guidance, and local regulations
  • Arriving on time for flights, tours, transfers, and scheduled activities
  • Travelers are expected to conduct themselves in a manner that is respectful to fellow travelers, guides, hosts, and local communities. Expats Traveling Group™ LLC and its suppliers may refuse service or remove a traveler from an itinerary, at the traveler’s expense, for behavior that is unsafe, disruptive, abusive, illegal, or that violates supplier policies.

9. Limitation of Liability

Expats Traveling Group™ LLC acts solely as an agent for independent travel suppliers, including but not limited to airlines, cruise lines, hotels, tour operators, transportation companies, and activity providers. Expats Traveling Group™ LLC does not own, operate, or control these third party suppliers and is not responsible for their acts, omissions, or negligence.

Travel involves inherent risks, including but not limited to illness, injury, accidents, property loss, delays, schedule changes, and other unforeseen events. By engaging our services, you voluntarily assume all such risks.

To the fullest extent permitted by law, Expats Traveling Group™ LLC shall not be liable for any direct, indirect, incidental, special, or consequential damages arising out of or related to the travel services provided by third party suppliers.

10. Governing Law and Agreement

These Terms and Conditions constitute the full agreement between the traveler(s) and Expats Traveling Group™ LLC. This Agreement shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict-of-law rules. The parties agree that any dispute arising under this Agreement shall be brought exclusively in the state or federal courts located in Broward County, Florida. Acceptance of services indicates agreement to all terms herein.
